Berkeley Lab Shuttles can be reserved for events, meetings, and conferences.
To request special service shuttle transportation:
- Submit your request at least two weeks prior to your event.
- Complete the Special Shuttle Service Request Form
- Expect an email confirmation of receipt of the request within 48 hours of submittal.
- The email notification will contain either:
- Acceptance of service and scheduling
- Or a referral to an outside vendor for shuttle service scheduling
- Note: Requests are filled on a first come first served basis. If we are unable to fulfill your request we recommend Phoenix Transportation. Please be aware that pricing through Phoenix is higher and you will need to budget accordingly. Special Service Shuttle Costs:
- Large shuttle – 30 passengers – $116.37/hour + $5.10/mile
- Small Shuttle – 14 passengers – $114.94/hour + $5.10/mile
- Service Minimums:
- Mon-Fri 6:30am-8pm – 2 hour minimum.
- Weekends, before/after hours, and holidays – 4 hour minimum.
Post Confirmation:
- Please submit a final itinerary 1 week prior to your event. Email it to: busservices@lbl.gov
- Any changes to the itinerary must to be made at least 24 hours prior to the start of the event.
- Two business days prior to your event you will receive another email with your shuttle details:
- A manifest that details the driver’s name and contact information as well as the details of the service (pick up and drop off areas, time, location, etc).
- The manifest will have some details to be completed by the requestor and will need to be returned to RydeTrans at the end of the service.

Cancellation Policy:
- Cancellation window is one week from date of event.
- Cancellations outside of this window will be charged special service minimum.
Large Shuttle: 30 passengers (up to 2 wheelchair passengers)
Small shuttles: 14 passengers seated
